Privacy Policy

How Believe EMDR & Holistic Therapies handles personal information, therapy enquiries, clinical records, website data and your data protection rights.

Who this privacy policy is for

This privacy policy explains how I, Rachel Selmes, professionally known as Rachel Hillerby, collect and use personal information through Believe EMDR & Holistic Therapies. This includes therapy enquiries, EMDR therapy clients, Reiki and holistic wellbeing clients, workplace mental health enquiries and people using this website.

Last updated: 5 May 2026.

Information I may collect

  • Your name and contact details, such as phone number, email address and WhatsApp messages.
  • Information you choose to share in an enquiry, consultation or appointment.
  • Appointment, payment and cancellation information.
  • Therapy notes, assessment information and health-related information where you become a therapy client.
  • Website information such as cookies, analytics data and contact form submissions where used.
  • Workplace enquiry information where an organisation contacts me about staff wellbeing or workplace mental health support.

Why I use personal information

I use personal information to respond to enquiries, arrange appointments, provide safe and appropriate therapy or wellbeing services, keep records, manage payments, meet legal and professional obligations, handle safeguarding concerns where necessary, and improve how the service is run.

For therapy clients, some information may be health data. Health data is special category data under UK GDPR, so it is handled with particular care.

Lawful basis and health information

The lawful basis for using your information may include contract, legitimate interests, legal obligation and, where relevant, your consent. For health-related information, the special category condition is usually that processing is necessary for the provision of health or social care, or for the management of health or social care services, by a professional subject to confidentiality obligations.

If you have questions about the lawful basis for your specific situation, please contact me and I will explain this as clearly as possible.

Who information may be shared with

Your information is not sold. It may be shared only where necessary, such as with secure email, website, booking, payment or accounting providers; professional supervision where appropriate and confidential; insurers or professional bodies if required; or emergency, safeguarding or legal services where there is a serious risk or legal obligation.

How long information is kept

Enquiry information is kept only as long as needed to respond and manage the enquiry. Therapy and clinical records are kept in line with professional, legal and insurance requirements. Financial records are usually kept for accounting and tax purposes. When information is no longer needed, it is securely deleted or destroyed.

Your rights

You have rights under data protection law, including the right to access your information, ask for inaccurate information to be corrected, ask for deletion where this applies, request restriction, object to certain processing, and complain if you are unhappy with how your information is handled.

You can also complain to the Information Commissioner’s Office at ico.org.uk.

Cookies and website data

This website may use cookies or similar technologies to help the site function, understand website use or support security. You can usually control cookies through your browser settings.
